About four times a year, we release a major update for iProva. In these updates, we introduce new features and ensure that existing functionalities work even easier and better. These updates also ensure that iProva stays technically 'up to date'.

The rollout of iProva 5.15 to iProva SaaS (default ring) took place on 27 August 2020.

The download package for organisations with iProva on-premises will be available from the end of August via my.infoland.co.uk

Documents & processes

Our focus this release is on the Documents & Processes module. We therefore have a lot of news in store for you!

Interactive documents

  • We introduce the ability to convert an existing Word document or web document into an interactive document.
    Based on the current paragraph or section layout of the document, text and media blocks are automatically created.
    This already completes the basis of your interactive document. Next, you can use various useful tools to add interactivity to your document, and further optimise the layout. So you'll make the transition to attractive, interactive documents easier than ever!
  • Displaying the definition of a term (fed by the iProva glossary) becomes possible in interactive documents.

Search and find

  • Guide colleagues to the right document faster than ever!
    We introduce quick codes, which let you instantly call up the right document in an instant.
    Stick quick codes on a device, for example, to provide quick access to the corresponding documentation. Or use them to indicate to your colleague verbally or via chat which document he needs.

We have also made it easier to share information with one or more colleagues. Both from document management and from consulting a document.

  • We want to help you even better in the future, with better and more personalised search results. That is why we are introducing the possibility to indicate whether the document you found was useful for you - or not. Based on that information, we will give administrators insight into where things can be done better - and we can (automatically) make search results more relevant to you.
  • When you go to search documents via the portal, for non-interactive documents, the document itself already highlights where your search term(s) appear. We are working to make this possible for interactive documents as well.

Viewing office documents in Office Online

For SaaS customers, it will now be possible to view Office documents in iProva in Office Online. This removes the conversion step to PDFs, and the document display is even more optimal. Especially with Excel files, you have many advantages, as you can also go to the various tabs, which were (sometimes) not clearly and properly displayed in the PDF view.

User feedback loop on documents becomes visible to other users

For open-format documents (free-web documents and structured documents), it has been added that users can indicate in an easily accessible way whether the document has been useful to the user. This feedback will also be made visible to other users so that they can easily and quickly see whether search results point to a useful document.

It also becomes possible to indicate why you find a document useful, or why not. Administrators can gain a lot from this easily shared data. This data can be found in the new 'Feedback' tab. In upcoming releases, we will ensure that this data becomes visible in the list of documents, so that document administrators can also easily scroll through the list of their documents, to easily find the useful or less useful documents.

As a document manager, since you modify a document that has been found 'not useful' to make the document better, there is also the option to reset the feedback. Thus, any bad score does not continue to haunt the document.

  • At the request of our community we make it possible to ask to enter the reason for archiving a document when archiving it.

Risk management

  • When scoring risks, we introduce the possibility of working with 3 instead of 2 dimensions.
    In addition to severity and frequency, the factor 'probability of detection' may soon be included in the determination.
    Of course you don't have to - you can just keep using the current matrix based on severity and frequency.
    NB: for the time being, this development does not apply to FMEA risk analyses.
  • We are improving the ease of use of the list of risks in the risk dashboard.

Reporting & analysing

  • For organisations that have not made their iProva available to the outside world, we have added an option To prevent action points to external users can be created. This prevents (end) users from putting effort into creating action points for externals, when that is not going to work.

Questionnaires

  • If your questionnaire is about an organisational entity or map, we have added the option to allow you to filter by organisational entity or map in questionnaire reporting. In addition, we also display these entities side by side, making it easier to analyse the comparison between departments or maps.
  • We make it possible to link multiple-choice question entries to organisational units.
    For example, in a questionnaire with an external target group (such as clients, patients or customers), you will soon be able to ask a simple question (at which location have you been?) and link that 'underwater' to the right organisational units, without having to present the full organisational structure as known internally to the external filler as well.
  • In the overview of questionnaires, you will soon also be able to show in a column who the administrator(s) is/are of the questionnaire, and you can also filter the list by administrator.
  • We simplify navigation through the question library, especially in those cases where the library contains many standards frameworks.

iProva general

  • To provide optimal support, we sometimes need access to your organisation's iProva environment.
    Until now, you can give us that access by sharing the password of a management account with us.
    In the middle of this year, we will introduce a new way of working, incorporating the latest security best practices.
    You then no longer need to share a permanent password with us, but can simply give us access for a period of time determined by you.
    Then, all activities performed by Infoland will be recorded under a separate name in the iProva activity log, so you can easily distinguish what Infoland did and what was performed from your own organisation under the management account.
  • The community will also become available to non-Dutch-speaking users through iProva. This allows the topics in the community to offer immediate help when you are working in iProva.

Licence overrun in iProva

In previous coverage (as can also be seen in iProva 5.14), we indicated that from iProva 5.15 onwards, end-users will also see a licence warning if, as an organisation, you were > 6 weeks overdue. To give organisations more time to prepare for this, the notification will not be shown from iProva 5.15, but from 1 October 2020.

Update (22-12-2020)

In this release, two portal settings have disappeared:

  • Showing the summary in search results;
  • Showing changes from previous version.

These settings were removed a release too early. We are more often developing on multiple tracks simultaneously, and at these settings should actually have been removed when the new portal would be released. That release is still some time away, but the settings, they have inadvertently already been removed.

The settings have been removed as the portal and search results get a new look and feel. In doing so, we also looked at existing settings and whether they still make sense. The following consideration was made:

  • Showing the summary: in the new look and feel, the summary will be shown in an open balanced way, always showing up nicely without interfering with the other search results. The summary will thus always shown.
  • Showing changes compared to previous version: during the data analysis, it turned out that this field is very valuable, but not in search results. Therefore, this data will never will no longer be shown directly with a search result.
