Zenya 7.2.0

About three times a year, we release a major update for Zenya. In these updates, we introduce new features and ensure that existing functionalities work even easier and better. These updates also ensure that Zenya is technically up-to-date. Curious about what's new in Zenya 7.2.0? You can read it on this page.

The rollout of Zenya 7.2.0 is scheduled on Monday 29 January 2024 from 7pm. The rollout on the slow ring is scheduled on Monday 26 February 2024 from 7pm.

With the release of Zenya RISK, Infoland deliberately chooses to deliver software early while continuing to develop its core functionalities. Partly for this reason, we have made about eight optimisations based on feedback from our customers to make Zenya RISK even better.

What's new in Zenya RISK from 7.2? Let's get started!

Control testing for assets

From this release, it is possible to use the control test(s) from feed per 'asset(s)' (map). For the assets make your Use of our card box. Assets (maps) listed therein, can connect you to your control type. In the settings of the control kan you then the right 'asset(s)' kices to perform the control test on.

Additional questions in control testing

In the settings of Zenya RISK zall your from 7.2. a triplet questionoptions encounter to find answers get on additional questions of the control test. By choosing between an open-ended question, annex and/or choice question, the control test thus gets -where necessary- more body. It is possible to indicate whether a question is mandatory or optional. In the wizard where you run your control tests, that will look like e.g. as follows:

Multi-edit & productivity improvements

As Infoland, we think it's important that our software is intuitive and helps make your day-to-day work more effectively. Therefore, we are also adding some multi-edit and effectiveness improvements.

First of all: copying your risks & controls. Indeed, it happens (regularly) that the settings of a new risk and/or control match. By copying a risk or control, creating a new risk or a new control a lot faster. We will also ask you additional questions, as you may or may not want to copy something along.

Our multi-edit option also has another two new features. It is now possible to have the owner from multiple risk's of control all at once at edit. It is also possible to change the textual settings for a control test for multiple controls set at once.

Control test review

As an organisation, you test your controls regularly to manage your risks effectively. ADepending on how your organisation has set up risk management, would, for example the CISO the control tests outcomes want review. Zenya RISK will be available from 7.2. this support process. To start with the so-called 'ad hoc review'. In 7.3. will this trial plannable are, so that this automatically inside Zenya is planned and assigned.

Optimisations based on customer feedback

Once again, we have some great additions based on your feedback, namely:

Archiving your risks & controls.
Some three improvements in linking a control (link).
It is possible to adjust disclosures for risk strategies.
For file types .jpg/.png/.doc, a preview will be shown when attached. Other file types will get a 'thumbnail', so this looks more visually appealing for all attachments. We will expand the number of file types further in 7.3.
Custom fields with a 'hyperlink' are now shown on a maximum of 1 line. In addition, you have the option to give a hyperlink your own name.
Of the custom tags you have added, the names are remembered and shown as suggestions when you want to add another custom tag.
Your gross risk can now be evaluated including consequence classes. In addition, we remember the history of your gross risk score(s).
Linked risks and controls are now also visible via the cardbox. The net risk score, tags, possible warnings & overall control test result, are -in addition to the name of course- displayed in a tab. A single click then takes you to your linked risk or control in Zenya RISK.

Zenya BOOST

Some nice and much-needed improvements have been made to BOOST. These make BOOST wider and easier to use and more pleasant to use, both for campaign managers and participants. For example, campaigns for participants are now also easy to access via a "My campaigns" on the portal. Archiving campaigns gives you as an administrator control over ending a running campaign. And by setting a publication time for messages, you can make a campaign fit the situation of the participants for your campaign. Below you can see all the changes at a glance.

My campaigns on portal

If you are a participant of a campaign, from now on you will also see it on portals. Like for other panels, portal administrators can determine whether and where the panel with campaigns is visible to users. Initially, this panel is shown and is at the top. However, it is only shown if a licence has been purchased for Boost and if the user in question is actually a participant in a current campaign. An indicator also shows how many messages you have not yet completed. So you can also quickly see when new messages have been added.

Easy navigation on timeline participant

On a participant's timeline, the number of uncompleted messages is now shown at the bottom right. This indicates how many messages the participant can still complete to be fully up-to-date. Next to the number are 2 navigation buttons to quickly take the participant to the next unfinished message that is above or below the current position.

Archiving campaigns

The "settings" tab allows you to archive a campaign. This makes the campaign inaccessible to participants, but you retain access to it as an administrator. This way, you can continue to consult the campaign and possibly copy it at a later time to use its content again. An archived campaign does not count towards the licence. Please note, archiving a campaign cannot be undone.

Logging in again after logging out

You could opt out of campaigns as a user before. But of course, you might regret doing so. Therefore, as a user, you now get the option to sign up again immediately after unsubscribing. Even if you navigate via a link from an e-mail to a campaign for which you have unsubscribed, you can now sign up again.

Notification mail after deleting chat response

If an administrator decides to delete a chat message it must now provide a reason when deleting it. This reason is then sent in an email to the author of the deleted chat message. This way, the author is informed and knows why a message was deleted. For a deleted message:

On the participants' timeline, the post is no longer visible, it does show that it was deleted by a moderator but he is not mentioned by name.
The email to the author will include the original post, the reason for deletion and by which moderator it was done.
The campaign management screen shows the original message, the reason for deletion and by which moderator it was done. Here it is also possible to undo the deletion.

Change publication time messages

In a campaign's settings, you can now change the time at which daily scheduled messages are sent. This time may even be changed during that the campaign has started and also on days when messages are scheduled to be sent. As a result, changing the time may also cause messages to be sent immediately (within minutes), for which you as campaign manager will also be warned.

Variation in subject matter mails.

Mails sent from a Boost campaign used to always have the same subject line. This resulted in a kind of blindness to mails which could have a negative effect on response rates. Therefore, more variation in topics for mails is now used automatically. For the first mail of a campaign, variations are used but no further consideration is given to the content of the message itself. All subsequent mails do look at the content of the mail and, based on that, a short title is chosen combined with the subject of the campaign. The subject therefore varies based on the user's language, the content and whether it is the first mail of a campaign or not.

For example, for a campaign titled "Security, why even bother?" you can expect the following email topics for the first message (for an English-speaking user):

Email notifications for read confirmation deadline

In the 7.1 release, we have made it possible to set a deadline for a read confirmation in Zenya DOC. For this optimisation is now also the e-mail notification included in the package. The intended reader will receive an email as the deadline approaches and the document has not yet been read.

When sharing a document appeared the option: "Email document" and "QR code", the document link could also be found under the heading QR code, this is unclear. Therefore, for QR code and Link made a separate selection under the "Share" button.

A published document is not deletedd but archived, the button that led to this action was named "Delete document". However, only draft versions are permanently deleted. When a published document is selected, the button now shows the correct description "Archive document".

Mandatory fields in form previews

As designer of a report form it is now possible to "quick" clicking through the preview view. This is because it is no longer necessary to fill in the mandatory fields in the preview view. The fields in the conditional sections should to be completed, this also ensures control or the conditional section works correctly.

Generate and mail Word document

The status transition action "Generate Word document" has been extended with the option to also email this Word document directly.

Directly linked the correct e-mail template in the "What to do table"

The institution for the action “send email" in the "What must me do-table" is extensive with the option to a email at send which is set with a template. As a result need those which the action picks up not after at think which template selected must be.

"I'm done" - button adjusted and moved

When following up on an action, dhe button "I'm done" moved to the bottom of the page, where the other "Save" and "Cancel" buttons are also located. The location of the button at the bottom of the page provides for a more user-friendly flow, as the button is sequential to any note/action that needs to be executed.

Customisation of e-mail subject by notification type

When an action for completing a form is added, the action taker receives an e-mail/task which is based on a system template. This template can be changed, but is used for all notification types.

To add a specific emphasis to the action per notification type, it is possible to add a "title prefix" to the subject of the e-mail notification/task.
Use of this option is not mandatory, therefore it is important to add the title prefix for each of the language options when using multiple language settings.

New role: co-owner

Coordinators are always predefined for a workflow. With this new role, the "coordinator pool" becomes more flexible. It is now possible to assign users per notification/notification type to perform coordinator tasks.

The co-owner role can be set up in several ways

By notification type: On a status transition, you can add co-owners

Like the functionality of "Change other people involved in this notification", there is an option "Select co-owners for this notification". With this option, you can ensure that multiple owners can become part of this notification type.

On notification: List of people involved

In the affected persons overview, the option of co-owners will also be added. From this functionality, co-owners can be added to the notification in the notification.

On notification/notification type: What should I do table?

In the "What to do table" when the "Change persons involved" option is added. Then the revamped screen to change involved persons also appears where co-owners are added.

Portals

Custom icons panel: icon set update

With the 7.1 release, we have made it possible to add custom panels to a portal. A custom panel can consist of an icon panel. The available icon set for these panels has been updated and offers the possibility to more closely match the topics the icon refers to.

Note: Due to this modification of the icon set, icons already in use may not find a connection with the revamped set. This shows itself in an "empty" icon on the existing portal panel.

General

Out of Office icon visible when selecting user

While selecting a user in the user selection screen is now visible whether this person is "out of office" or not. So you can see whether it is available to perform the action you want to assign. If the user has activated "out of office", the icon shows whether this user is "out of office" and the tooltip you can check until and including when the person is unavailable. Previously, the indication of "out of office" was also given but only after selecting the user.

Hyperlink designation

Custom fields with a 'hyperlink' will henceforth be on maximum 1 line displayed. In addition, you have the option of adding your own name to a give hyperlink.

Hamburger menu

The look and feel of the menu which can be found under the "hamburger button" in Zenya has been updated, when you access the menu from the portal the menu still has the old design. This will be adjusted with a later update.

Application management - Central rights

The alignment of the rows in the table has been optimised. The overview within the central rights table showed in several browsers and/or at different screen sizes an anomaly in the rows of the table.

File formats

File uploads to a mobile form are now equal to the allowed file formats within Zenya.

The allowed file formats are:
