Zenya RISK

Following the release of the renewed Zenya RISK in7.0&7.1&7.2 & 7.3 we have added the following in Zenya RISK.

Assess risks by organisational unit;
RISK AI assistant;
Dashboards;
Optimisations based on customer feedback.

With the release of Zenya RISK, Infoland deliberately chooses to deliver software early, while continuing to develop its core functionalities. Partly for this reason, we have made 17 optimisations based on our customers' feedback to make Zenya RISK even better.

Evaluate risks by organisational unit

Creating 'duplicate' risks and then being able to evaluate them per organisational unit is a thing of the past. From now on, it is possible to create main and sub-risks, where your sub-risk is about a specific OU.

If you want to use this functionality, you can indicate this in application management in your risk templates.

Main risk: This serves as the basis for the sub-risks. This is where you enter the general information about the risk. This information will be transferred to the subrisks linked to the main risk. The main risk cannot then be evaluated. In fact, that will get the score of the 'weakest link' of the subrisks.

Sub-risk: this is your main risk, but specific to an organisational unit. When you open a sub-risk, you will see pre-filled fields. These are the fields taken from the main risk. There are options to modify fields or add certain values to the sub-risk.

The sub-risk can be evaluated though.

RISK AI assistant

Risk AI BowTie is designed to assist in compiling Bowtie analysis. From this release onwards, the AI assistant will be on automatically!

Should you want to turn off the assistant, you can. You can do this via 'system information - data & privacy'.

Dashboards

Control overview
From 7.4, the control overview dashboard gives you better insight into the overall result of your control. It is now clear which controls have passed tests and which have not yet been tested. The control types (templates) are now clearly shown in a donut chart
Test overview
The new test overview dashboard shows you information about the results of your control tests. You can see which tests have already expired and which tests are about to expire. The dashboard shows only the most recent test of a control, so you always have an up-to-date view of the test results. You can see the effectiveness of the tests in the Sankey chart. In addition, you will find in details the relevant information associated with the execution of the (control) test.
Review overview
The new review overview dashboard gives you insight into the results of your control test reviews. Among other things, you can see how many tests have been marked for review via the allocation scheme and how many of these you still need to perform. In the detail overview, you can find all relevant information.
Saving dashboards
From 7.4, it will be possible to save your preferred filter(s). This 'view' will be remembered in your browser.
Customise detail view
You can now customise your own details. To do this, go to the three dots to the right of the name of the column you want to customise. After this, you can adjust things per item via the three dots. It is possible to lock or hide columns. The option to move columns will be provided later in a minor release, as will the option to save the customised table in a view.
Filter panel
In the filter panel of the dashboards, you can now filter by risk level. With this, you determine whether you want to see only normal risks, or the main and sub-risks.
The 'scope of test' filter allows you to filter on the scope of your control tests. Here you choose from 'general', 'per asset' or 'per organisational unit'.

Zenya Card Boxes

In this release, a start has been made on modernising cardboxes and maps. This involves major maintenance to make card boxes completely up-to-date and future-proof again. A big job that is spread over several releases. In this release, a lot has changed, especially under the bonnet, but fortunately there are already some visible changes.

Add card

Adding a new map is now done via a new modern screen. It has the same look and feel as other new or updated sections within Zenya. This makes it clearer, calmer and more pleasant to use.

View map(s)

The modern look&feel is also used for viewing the map(properties). For now, this is still done within the context of the old Zenya style with button bar at the top. Later, the entire screen with all other tabs will be modernised.

Tooltip

The old tooltip has been replaced by a new side panel that opens on the right.

Other changes

Changed and/or deleted settings

A number of settings within the card bin have been changed and/or removed.

The option to use a Bluetooth Low Energy beacon has been removed from the "Properties" tab. This functionality is no longer supported.
The 'Location' section has been removed from the list of sections. When using a QR code or GPS location, sections are always automatically shown at the bottom of the map for this purpose.
When viewing and changing display settings, the tooltip is no longer previewed, instead a list of fields displayed in the revamped tooltip is shown.
When viewing the display settings, it is now also shown whether an image can/should be used.
When changing the display settings, the height and width of the image have been removed.
It is no longer adjustable whether one or two columns are used for the tooltip, one column is now always used in the new view.

Anonymous users

For reasons of security and traceability, it is no longer possible to create a card in a card field from a form or questionnaire as a non-logged-in user. A non-logged-in user can still select cards (if 'all users' is configured in the rights of the card(s) bin).

Several Zenya modules have received love and attention in the form of optimisations. Below, they are described for each module, including a link to the Community idea that contributed to them.

DOC

Bulk export search functionality

The bulk export as an offline website can be opened and consulted locally on the PC. To make using the bulk export more user-friendly, a search functionality is now available. This can be used to search document titles.

Date stamp for comments and notes

Show date stamp in comments/notes of a document. Now, the date when a comment was posted can only be retrieved from the comments tab. If the date stamp is also visible when handling or following up comments, more efficient work can be done.

Reason for archiving

When archiving a document, it is now mandatory to fill in the reason before you have the option to archive.

Web share overview

The web share overview information has been updated. Now it is possible to see when the content of the document was last changed, which version it is, and the size of the document. To make it clearer, we have removed the 'document type' column and you can sort/filter by the icon representing the 'document' type.

Hyperlinks

Incorrectly implementing hyperlinks in a document causes frustration because the link then does not work. In this optimisation, we have put our focus on converting hyperlinks added when editing a document. When the entered 'incorrect' hyperlink based on document ID exists within Zenya, the link is now automatically converted into a proper hyperlink.

Attachment / Add additional info - 'all' roles

In FLOW, adding attachments has been extended for 'all roles' except readers.

An option has been added where you can select who can add 'Additional info' to a notification. Within Zenya, a distinction is made between correspondence and additional info. We have maintained this and adjusted the rights to add both these 'Additional info' entities.

Organisation unit filter in report export of notifications

Now, for the overview of notifications, it is possible to choose whether or not the path of an organisational unit is shown in the export.

Additional option for 'Number calculated by formula' field

To support quality and risk analyses for frameworks and certifications, among others, the options in the 'Number calculated by formula' field have been expanded. The option 'Select the highest value' has now been added. This option extracts the highest answer/score from the selected fields.

Nedap ONS connection - report text field

Using the 'Report summary template' option caused confusion about which data should be sent to Nedap ONS and which should remain within Zenya FLOW.

To solve this, the 'Send data to external system' action has been modified. The report text field now contains an additional function that allows you to forward specific information from the report, just like in the report summary. This makes it possible to send a different information to the external system.

Linking action FLOW vs. RISK

Whereas previously you could only link an action to Zenya FLOW from RISK, you can now do the same the other way round, i.e. from a FLOW (form) to a risk or control. You add this on your form(s) via our "special fields". Once you have added this field, it is possible to select risks and/or controls on your form and thus create a link.

'Date' question type for CHECK

The option to include a date-type question has now been added to the questionnaire design. When completing a questionnaire, it is possible to use both the calendar and manual number entry. This type of question has also been added to the frames.

Best and worst answer colour coding

When the best/worst answer is indicated in the questionnaire design, you can now indicate in the Word export of a CHECK questionnaire that it is colour-coded. This helps users who have to read the report to get a quicker insight into where positive points lie and to spot areas of concern more quickly.

Transpose columns/rows in both Word and Excel exports

We have made it possible to choose how the report is structured. Both for the 'individual' Word report and the overview of completed questionnaires (Excel report), it is now possible to choose how the questions and answers are displayed in the report.

For both exports, the option has been added to choose whether questions and answers should be displayed in rows or columns.

The 'result' column in the overview of the completed questionnaire is colour coded, the same column on the overview page of questionnaire surveys will now also carry this colour coding.

Return to page and last filter set

Working in tasks and messages is now more intuitive. After reading a message, you now return to the message list and not to standard tasks. When you return to both tasks and messages, the starting position is where you left the page earlier. In addition, it is now possible to sort by date from old to new and new to old.

Zenya Teams - Overview

For users with permissions on users and user groups, an option has been added to understand Zenya teams. Have Zenya teams been created within the Zenya suite? Then an overview of them will be shown and it is possible to export them to Excel. This provides more overview for application managers, among others; how many teams have been created in Zenya, who the Team Manager is, how many team members are on that team. Who those team members are is visible in the export.

Zenya Teams - Activate and deactivate usage

Use of Zenya teams for the complete Zenya suite can be enabled or disabled by the application administrator through system settings.

Please note that if teams exist within the Zenya environment, usage cannot be deactivated, for this the teams must first be removed.

Zenya AI support assistant and AI Bowtie

Robin is an AI assistant specifically designed to provide answers to questions you have about Zenya's operation and functionalities. Previously, as a functional administrator, you were directed to training and support articles on the community when you clicked on the question mark in Zenya. From now on, you can ask your questions directly to Robin. Robin is not only a handy assistant for new contributors, but also for experienced Zenya administrators.

Risk AI Bowtie is designed to assist in compiling Bowtie analysis. Support in creating controls/measures & causes/consequences of a risk.

Both Robin and AI Bowtie can now be turned on or off via system information/data & privacy, for all users within Zenya.

Zenya AI Search

From now on, in addition to documents, other Zenya items will also be able to be found, just like with the old search function. Specifically, this involves the following elements:

Smart searching as mentioned above (searching by title, content and meaning) will therefore then also be possible on these elements.

Zenya Stylesheet

We are excited to announce that Zenya's stylesheet has been updated! This update aims to improve the visual experience, streamline the interface and increase consistency throughout the application.

Think improved layout, consistent typography and the colour scheme adapts to the portal colour.

We are constantly striving to improve our software and meet our users' expectations. This stylesheet update is a step in that direction, aiming to provide a cleaner and more coherent interface that is not only pleasing to the eye, but also functional and efficient.
For instance, when searching and adding users, you can now use the magnifying glass icon.

The update is visible in the overview pages and settings pages of DOC, FLOW and CHECK. In application management, only the overview page has been updated.

Browser tab name

When you have many tabs open from Zenya, it wasn't easily clear what exactly was open in which tab. We have improved this and in this update, we take a first (big) step in this.

From 7.4, the description of the tab will show the following:

If it is a test or acceptance environment: the name of the environment, plus:
Page title
If it is a production environment, you will only see the title of the open page

Additional information bugs:

Bug 68192: When selecting user groups in the user dialogue box, system user groups "All users" and "All logged on users" were displayed in the wrong language.

Due to technical reasons, the bug has been fixed in a different way than how it worked before.
From now on, system users and user groups will be displayed in the language set as primary language under application management > System settings: General will be displayed in user (selection) screens.
